Job Description

Habitat for Humanity Hong Kong (Habitat HK) is currently seeking talented individual for the role of Assistant Manager, Programmes. Reporting to the Impact & Innovation Senior Manager, you will play a lead operational role in running our domestic programmes in Hong Kong. Working collaboratively across the teams and in particular with the Partnerships and Public Engagement Team, you will be responsible for planning, executing and monitoring impactful and efficient domestic programmes. You will effectively manage and strengthen our key relationships with beneficiaries, volunteers, NGO and other programme delivery partners. Once we are positioned to relaunch our overseas Global Village programmes, you will coordinate our overseas volunteer programmes.

Key Responsibilities Include:

Planning, Execution & Stakeholder Engagement
- Working with the Impact & Innovation Senior Manager, develop, schedule and execute, strategically aligned and impactful domestic programmes with long-term volunteer engagement as a central component.
- Support the Impact & Innovation Senior Manager to expand and diversify the current local NGO network and programme partners, whilst strengthening the current relationships.
- Develop training materials and train up skills-based volunteers to assist in programme execution to increase operational efficiency.
- Provide end-to-end operational support for the assigned programmes, including providing pre-, during- and post-activity coordination with volunteers, beneficiaries, NGO partners, construction partners and overseas Habitat colleagues as is needed, coordinating with all stakeholders prior, during and post service days.
- Ensure quality control, excellent standards and all relevant policies including but not limited to risk management and safeguarding, are consistently applied to all programmes.
- Ensure that all programme stakeholders operate in a highly professional manner exemplifying Habitat guidelines, standards, and mission.
- Work closely with colleagues across teams, to provide high-quality, rewarding and life changing volunteer experiences, contributing to the expansion of the number of volunteers whilst increasing and deepening long-term volunteer engagement.
- Work collaboratively with the Partnerships and Public Engagement Team to provide volunteer stories for further volunteer engagement opportunities.
- Undertake and oversee the development and implementation of other projects or responsibilities as assigned by the Impact & Innovation Senior Manager.
Monitoring and Evaluation
- Implement evaluation systems and metrics for our programmes to ensure they are delivered for impact and mission aligned outcomes.
- Ensure tight budget controls and prepare timely and high-quality programme reports for donors and - internal reports.
- Position the team to navigate challenges, adapt to change and innovate in times of crisis through thoughtful planning and risk mitigation and management.
- Ensure Habitat’s local programmes monitoring & evaluation processes comply with Habitat’s policies and adhere to donor policies and reporting requirements.
- Evaluate the effectiveness of our programmes to identify areas of enhancement for ongoing development and continuous improvement.

Cross-Team Collaboration & Strategic Contributions
- Support colleagues through sharing content, stories, images, and compelling concept notes designed to drive new supporter acquisition and donor retention, recognising the importance of cross-team interconnections as we all work towards the same goals.
- Coordinate closely with other teams such as Finance, recognising that no one person or team can function in isolation.
- Encourage your direct reports to establish cross-team connections.
- Seize the opportunity to contribute to organisational level decision-making.
- Act as Staff Liaison or Committee Coordinator for one of our Standing Committees, prepare agendas and accompanying documents, present recommendations, and lead discussions during the meetings.
- Follow up on actions and learnings from committee members.
People Development
- Embrace the opportunity to line manage colleagues and demonstrate through your own behaviours a culture of growth and governance. You encourage your direct reports to participate in discussions and decision-making.
- Work closely with the Impact & Innovation Senior Manager to remove barriers and position the team and the people in the team, to achieve their full potential.
- Be accountable for the employee experience of your direct reports from onboarding, coaching, and developing and create a platform for transparent discussions around growth and capacity building opportunities.
Note: The role, whilst clearly defined, is part of a fast-moving and evolving organisation and as such, the related responsibilities may need to adapt as the team grows. Any changes will be discussed with the individual but should be recognised as part of the exciting environment within which Habitat HK operates.
Qualifications, Skills & Experience:

Essential for the role

- Degree holder in relevant discipline.
Minimum 6 years of experience in planning & execution of programmes and project management, preferably with volunteer / beneficiary programmes for an NGO.
- Candidates who are passionate about moving into the non-profit organisation sector and come with relevant experience gained from other sectors are also welcome. 
- You can demonstrate how you plan and execute successful projects and programmes within a strategic framework.
- You have developed the ability to prioritize and manage conflicting priorities so that you can deliver above and beyond expectations.
- Whilst you understand the bigger picture, you excel at managing details, managing risk and navigating challenging situations to execute with excellence.
- You are comfortable with budgets – ranging from developing a sound budget to monitoring and reporting on accurate spending.
- Fluent in Cantonese
- Good written and verbal communication skills in English
- You are proficient in PC operations (Microsoft based applications); Knowledge of database programmes such as SalesForce / Monday.com preferred
- You are an early adopter and you’re interested in finding digital solutions to streamline operations.
Working Hours
Whilst we have flexible working options, you will need to be available to work during the weekends as is required according to programmes & project needs.

Desirable for the role
- Demonstrated examples of taking complex information and creating digestible, engaging project proposals.
- Demonstrated knowledge and experience of programme development and impact measurement tools.
- Demonstrated experience in innovative project design and project management.
- Knowledge of and experience in developing engaging communications about thematic projects.
- Integrated into the Hong Kong NGO network, the local community, and schools.
