CENTRE FOR ADVANCES IN RELIABILITY AND SAFETY LIMITED
Centre for Advances in Reliability and Safety Limited (CAiRS), initiated by The Hong Kong Polytechnic University, is established
in 2020 with its operation located in the Hong Kong Science Park, New Territories, Hong Kong. The mission of CAiRS is to link up academic and industrial counterparts to introduce and implement new artificial intelligence methods and deep learning techniques
with reliability modelling, with the goal of improving the products reliability and systems safety of critical components and devices, products, systems and sub-systems designed, commissioned and/or manufactured by Hong Kong companies and enterprises.
Clerical Officer (Research Support) (Ref. No.: CAiRS-CO)
The appointee will
report directly to Administrative Manager (Research Support) and
perform functions supporting the research activities of the Centre. He/She will be required to:
maintain and oversee daily office operation, arrange meetings and appointments and send out reminders as needed; maintain a master corporate calendar of all conferences and publicity events;
support daily operation of research staff and marketing staff;
facilitate provision of audio-visual equipment for publicity, promotion and online meetings;
(d) facilitate coordination of all project matters; provide assistance to all project management
arrange executive travel, lodging for centre staff and overseas visitors;
prepare meeting agenda, take meeting minutes and subsequent dissemination;
monitor office supply levels of office furniture and facilities and maintain records;
develop and carry out an efficient documentation and filing system for both paper and electronic records;
prepare all correspondence, memoranda and other administrative documents, and ensure that they are properly transmitted to appropriate stakeholders;
assist researchers in preparing required reports, forms or other correspondence and ensure that these items are properly disseminated;
collate information from internal and external stakeholders or organizations as appropriate and prepare the Centre Progress Report; and
perform any other duties as assigned by the Centre Director or his delegates.
Applicants should have:
(a) a higher diploma or professional diploma or above in Business, Management or a related field;
at least five years of related experience in office administration;
strong understanding of business management, financial, and leadership principles;
excellent communication, interpersonal, leadership, coaching and conflict resolution skills;
time and project management skills;
ability to analyse processes and information, identify problems and trends, and develop effective solutions and strategies; and
commitment to provide exceptional service to partners and support to staff members.
